Recordings and Transcripts of Online Meetings
The CLPM virtual services look to provide support to clients via online meetings. Your permission will be sought at th start of online meetings to ensure that you agree to the session being recorded. The following questions have been considered in making an informed decision about whether to record client meetings as part of our virtual support services.
What is our reason for recording the meeting?
Our client meetings are recorded because:
i) This is an integral part of the virtual service. You may wish to revisit the recording at a later date to ensure you have understood the suggested advice.
ii) There will be a great deal of information exchanged in the course of the meeting. Recording the meeting allows you to refresh yourself of the advice at a later date.
iii) Recording the meeting means that if one of you cannot attend the meeting (eg if you are a couple where one participant has an alternative engagement) you have an option to access the information at a later date.
iv) In the event of a dispute, both you and CLPM have an accurate record of the discussion.
Where will we store your video, and for how long?
The video recording will be stored in a secured location on the CLPM OneDrive system. This system can only be accessed by the CLPM team member undertaking the recording or another authorised team member. The recording can be shared by the CLPM team member with you. You will receive a link for viewing but which should not be used for downloading to share.
We will only keep the video for as long as it is needed. As a matter of policy, CLPM will retain videos for 1 year after the end of your engagement with us, after which time the video will be deleted. This retention timeline has been determined based on good industry practice for a defects period.
What do we plan to do with the video, and who will have access to it?
i) The video will only be available to you and the CLPM team. CLPM will not show or share the video with anyone other than for any purposes required by law.
ii) Likewise, you may not show or share the video with anyone other than for any purposes required by law,.
iii) The video will not be published on the internet either on any social media platform or via the CLPM website or any technology portal by CLPM and as per the above, you may not show, post or in any way share the video on the internet or any technology portal.
Controlling your personal information
You may choose to restrict the collection or use of your personal information in the following ways:-
- whenever you are asked to fill in a form on the website, look for the box that you can click to indicate that you do not want the information to be used by anybody for direct marketing purposes
- if you have previously agreed to us using your personal information for direct marketing purposes, you may change your mind at any time by writing to or emailing us at email@example.com
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen.
